We have an exciting opportunity for a Personal Assistant to join our HR Shared Service Team. Reporting to the HR Shared Services Director, you will be responsible for providing administrative support to ensure the smooth running of the day-to-day operations of the HR Shared Services. This role will play an essential part of our Senior Management Team, ensuring we are organised, prepared, and agile in our approach to provide the best possible service to both our internal and external customers across the Kier group.
Location: Flexible, hybrid working, with once a week travel to Rushden, Northamptonshire
Contract: Permanent and full-time.
Responsibilities
As a Personal Assistant, your day-to-day responsibilities will include, but not be limited to:
- Proactive diary co-ordination for our HR Shared Services Director and providing administrative support to the HRSS Director, including arranging and supporting meetings.
- Providing administrative services for any of the HRSS teams across the centre as and when required.
- Collation of agendas including weekly and monthly reports for management meetings
- Submitting expenses claims on behalf of HRSS Director.
- Drafting key communications for the HR Shared Service and supporting key projects as and when required.
- Coordinating starters and leavers in the HRSS not limited to maintaining our asset register, updating distribution lists, and coordinating inductions.
What are we looking for?
This role of Personal Assistant is great for you if you have:
- Previous experience within a Personal Assistant role.
- Effective written and verbal communication skills, and a proven record of communicating and influencing across a range of audiences internally and externally.
- IT literate and extremely proficient in the use of Office 365, in particular, PowerPoint
- A good understanding of the HR environment, able to manage confidential information and maintain high levels of professionalism.
- Experience of supporting leadership and fast paced project teams through both day- to-day activities and programmes of work.
